We are seeking a detail-oriented Member Services Coordinator to serve as the operational backbone of a highly respected creative professional community in the architectural and interior design industry.
This role is ideal for someone who enjoys balancing administrative excellence with relationship management and coordination. You will oversee day-to-day member communications, billing, database management, scheduling, and event logistics while serving as a trusted point of contact for members, partners, and internal leadership. Key Role Responsibilites
- Member Communications & Billing: Manage all day-to-day administrative communications with the membership, including handling all aspects of billing, invoicing, and dues collection with professionalism and clarity.
- Membership Pipeline Support: Serve as the first point of contact for membership candidates, guiding them through the application process and supporting the Director of Membership with outreach and prospecting.
- Database Management: Own the management and integrity of the member database (CRM), ensuring all information is accurate, up-to-date, and meticulously maintained.
- Community Gatherings: Plan and coordinate Community Gatherings, working with local members and partners to create intimate, high-value experiences like private tours and workshops in key cities.
- Community Gatekeeper: Act as the central point of contact for communications flowing to and from members and partners, managing invitations, introductions, and solicitations with discretion and in accordance with community guidelines.
- Cross-Functional Engagement: Work cross-functionally with the Programs, Editorial, and Partnership directors to support member engagement and ensure a cohesive, high-touch experience across all programs, partner activations, and editorial features.
- Administrative Support: Provide administrative and logistical support for member-facing activities and internal team needs as required.
- 2-4+ years of experience in a high-touch client relations, account management, or community management role, preferably within a membership-based organization, luxury brand, or creative industry.
- Demonstrated ability to provide sophisticated, high-touch service to a discerning, executive-level audience.
- Exceptional written and verbal communication skills, with the ability to embody a warm, conversational, and refined tone in all interactions.
- Impeccable organizational skills and meticulous attention to detail, especially in managing databases, schedules, and financial records. This ideal candidate for this role sees superbly organized administration as their vocation.
- A collaborative and proactive team player who thrives in a dynamic, cross-functional environment and is able to manage multiple priorities with poise.
- A high level of professionalism, discretion, and judgment in handling confidential information and navigating a community of industry leaders.
- Proficiency in Microsoft Office Suite and Google Workspace, experience with CRM software (MemberClicks preferred), and curiosity to learn AI efficiency tools (Claude, ChatGPT).
